§ 1
Scope and Organizer
1.1 The organizer of the Mutual Aid HEAT 2026 event (September 20–27, 2026, Alte Hölle, Brandenburg) is:

(hereinafter referred to as "the Organizer")
1.2 These Terms and Conditions apply to all ticket purchase agreements concluded through the ticket shop (pretix.eu/foundation/mutualaidheat).
1.3 Any conflicting or deviating terms and conditions of the buyers will not be recognized unless the organizer expressly agrees to them in writing.
§ 2
Contract Execution and Selection Process
2.1 The Mutual Aid HEAT 2026 event is not open to the public. Participation requires successful completion of the selection process.
2.2 The procedure is as follows:
Those interested can sign up using the registration form at mutualaidheat.de.
The organizer invites selected individuals to an informational call and clearly explains the selection process in advance.
Only after being selected and receiving explicit confirmation from the organizer will participants be granted access to the ticket shop and prompted to make a payment.
The purchase agreement is not finalized until full payment has been received.
2.3 There is no entitlement to participate or be selected. Failure to be selected does not give rise to any claims for damages.
2.4 Participation is limited to individuals 18 years of age or older. Minors are not permitted to attend the event.
§ 3
Ticket Prices and Payment Terms
3.1 The ticket price is as follows, depending on the selected price tier:
Solidarity Ticket: by arrangement (including sales tax)
List price: €300 (including VAT)
Sponsorship ticket: €400 (including VAT)
3.2 The ticket price includes: accommodation in your own tent, meals, and participation in training and the scenario. Travel expenses are not included.
3.3 Payment is due within 30 days of receiving the invoice. If payment is not received by the due date, the reservation will be canceled and the spot will be reassigned.
3.4 Available payment methods are displayed in the ticket shop.
3.5 If participants fail to meet their payment obligations, the organizer is entitled to charge interest on late payments at the statutory rate.
§ 4
Cancellation by participants
4.1 Once payment has been made, the following cancellation policy applies:
Through July 31, 2026: Full refund of the ticket price, minus a €10 processing fee.
From July 31, 2026, through August 31, 2026: 50% refund of the ticket price.
Effective September 1, 2026: No refunds.
4.2 In all cases, the organizer shall be entitled to offset the value it has obtained through savings on expenses or by otherwise filling the vacated spot (Section 649 of the German Civil Code [BGB], applied by analogy).
4.3 Cancellations must be submitted exclusively by email to kontakt@mutualaidheat.de. The date and time the email is received by the organizer shall be decisive.
4.4 Tickets may be transferred to another person with the express consent of the organizer. The organizer reserves the right to refuse such a transfer if the new person does not meet the requirements of the selection process.
4.5 No Right of Withdrawal: Pursuant to Section 312g(2)(9) of the German Civil Code (BGB), there is no statutory right of withdrawal for contracts regarding recreational events with a specific date.
§ 5
Cancellation or postponement by the organizer
5.1 The organizer reserves the right to cancel or postpone the event for good cause. Such reasons may include, in particular: failure to meet the minimum number of participants, official bans, or force majeure (see § 6).
5.2 In the event of cancellation by the organizer, ticket prices already paid will be refunded in full. Any further claims—in particular for reimbursement of travel or accommodation expenses—are excluded, unless the organizer acted with intent or gross negligence.
5.3 In the event of a postponement, participants will be notified immediately. Existing tickets remain valid for the new date. Anyone who is unable to attend on the new date will receive a full refund upon request.
5.4 The organizer will notify attendees of any cancellation or postponement via email to the address provided on the ticket, as well as on mutualaidheat.de.
§ 6
Force majeure
6.1 For the purposes of these Terms and Conditions, “force majeure” refers to extraordinary events beyond the Organizer’s control that could not have been foreseen at the time the contract was concluded and that the Organizer could not have prevented or mitigated, even with the utmost care reasonably expected. These include, in particular:
Natural disasters (e.g., storms, floods, prolonged droughts)
Government orders or official bans
Epidemics or pandemics recognized as such by the World Health Organization (WHO)
War, terrorist attacks, or war-like events
Widespread infrastructure failures (electricity, water, communications) that make implementation impossible
6.2 If such an event occurs , the parties’ respective performance obligations shall be suspended for the duration of the event. In such a case, neither party may assert claims for damages arising therefrom.
6.3 The organizer shall inform participants immediately upon becoming aware of the nature, expected duration, and impact of the event.
6.4 The organizer will take all reasonable steps to facilitate an alternative solution (e.g., rescheduling).
6.5 If the effects of the event persist for more than 90 days, either party has the right to terminate the contract. Any ticket fees already paid will be refunded in full. No further claims may be made by either party.
§ 7
Health and Personal Responsibility
7.1 The event involves physically and emotionally demanding training exercises in a realistic scenario setting. Participation is at your own risk.
7.2 Participants are responsible for determining for themselves whether they are physically able to participate in the activities. The organizer is not required to inquire about individual health limitations.
7.3 Participants who notify the organizer in advance of any health restrictions, allergies, intolerances, or other relevant circumstances enable the organizer to address these issues appropriately. Without such notification, the organizer cannot guarantee that individual needs will be accommodated.
7.4 Participants certify that they have health insurance coverage for the entire duration of the event.
7.5 Participants are required to follow the instructions of the trainers and the organizer during the event and to actively contribute to ensuring the safe conduct of the training sessions. Failure to comply may result in the organizer excluding the person in question from further training sessions or the entire event.
§ 8
House Rules, Code of Conduct, and Safety Guidelines
8.1 The organizer exercises the right to enforce house rules on the event grounds. Instructions from the organizer and security personnel must be followed.
8.2 Discriminatory , abusive, or unsafe behavior will not be tolerated and entitles the organizer to immediately expel the individual from the event without a refund. This applies in particular to racist, sexist, transphobic, or fascist behavior.
8.3 Applicable rules of conduct (Awareness Policy, Safe Space Guidelines, escalation procedures) will be communicated prior to the event and form part of the terms and conditions of participation. Participation is contingent upon acceptance of these rules.
8.4 Sales , distribution, or other commercial activities, as well as any form of advertising, are prohibited on the event grounds without the express permission of the organizer.
8.5 Pool. There is a pool on the event grounds. Use of the pool is strictly at your own risk. There is no lifeguard on duty. Participants are expressly advised not to swim alone and to realistically assess their own abilities. The organizer assumes no liability for accidents or damage related to the use of the pool, unless caused by the organizer’s willful misconduct or gross negligence.
8.6 Fire Safety and Wildfire Risk. The event grounds are located in an area with an elevated risk of wildfire. Open flames—including campfires, grills, candles, and smoking outside designated areas—are strictly prohibited throughout the entire grounds. Violations of this prohibition entitle the organizer to immediate expulsion without refund and may also result in criminal and civil liability. Participants who notice or cause a fire are required to report this immediately to the organizer.
8.7 If you are removed from the premises for violating these rules, you are not entitled to a refund of the ticket price.
§ 9
Liability
9.1 Unlimited Liability. The Organizer shall be liable without limitation for damages resulting from willful misconduct or gross negligence, as well as for damages arising from any warranty provided or under the Product Liability Act.
9.2 Liability to Consumers in Cases of Gross Negligence. The organizer bears unlimited liability for gross negligence toward participants who are acting as consumers within the meaning of Section 13 of the German Civil Code (BGB).
9.3 Liability for Slight Negligence. The Organizer shall be liable for slight negligence only in the event of a breach of material contractual obligations (cardinal obligations). In such cases, liability is limited to damages that were typically foreseeable at the time the contract was concluded.
9.4 Liability for bodily injury and damage to health. The limitation of liability set forth in Section 9.3 does not apply to damages resulting from injury to life, limb, or health. The organizer shall be fully liable for such damages, even in cases of slight negligence.
9.5 Contributory Negligence. The Organizer expressly reserves the right to raise the defense of contributory negligence pursuant to § 254 of the German Civil Code (BGB). Contributory negligence on the part of the Participants exists, in particular, if:
they acted contrary to the instructions of the trainers or the organizer,
they participated in activities despite being aware of their health limitations, without informing the organizer in advance,
they used the pool alone or in violation of the safety instructions,
they have violated the fire ban under Section 8.6,
they ignored the safety instructions during the event.
In such cases, the right to compensation may be reduced in part or in full.
9.6 Valuables and personal belongings. The organizer assumes no liability for participants’ personal belongings and valuables, unless there has been a willful or grossly negligent breach of the duty of care.
9.7 Agents. The foregoing limitations of liability apply mutatis mutandis to the personal liability of the Organizer’s employees, trainers, representatives, and other agents.
§ 10
Privacy Policy
The processing of personal data in connection with ticket purchases and the organization of the event is carried out in accordance with the organizer’s privacy policy (mutualaidheat.de/datenschutz) and the privacy policy of the ticket provider pretix (pretix.eu). If participants voluntarily provide health data to the organizer, this data will be treated as a special category of personal data in accordance with Article 9 of the GDPR and will only be processed with explicit consent.
§ 11
Audio and video recordings
11.1 A documentation team from the activist community will be present at the event to take photographs and film the proceedings. The documentation team has been instructed to take pictures or film individuals only with their express consent.
11.2 Participants may withdraw their consent at any time by notifying the documentary team or the organizer. Any footage already recorded in which the person in question is recognizable will be deleted or blurred upon request.
11.3 The organizer notes that for many participants, protecting their anonymity—especially with regard to their participation in an activist event—is important. The documentary team has been made aware of this.
11.4 Participants may only take photos of one another with the express consent of all persons depicted. During training and scenario sessions, participants are strictly prohibited from taking their own photos.
11.5 Violations of this policy entitle the organizer to demand the immediate deletion of the recordings and, in the event of refusal, to take measures in accordance with § 8 (House Rules).
§ 12
Final Provisions
12.1 The laws of the Federal Republic of Germany shall apply.
12.2 Any amendments or additions to these Terms and Conditions must be made in writing.
12.3 If any provision of these Terms and Conditions is or becomes invalid, this shall not affect the validity of the remaining provisions. The invalid provision shall be replaced by the legally permissible provision that most closely approximates the economic purpose of the original provision.
12.4 To the extent permitted by law, the venue for legal proceedings shall be the organizer’s place of business (Groitzsch).
12.5 The organizer is neither willing nor obligated to participate in dispute resolution proceedings before a consumer arbitration board.
